Administrative Assistant to Development Director

POSITION SUMMARY:

Under the direct supervision of the Development Director, the Administrative Assistant provides direct support for the Development Director. The schedule for this position is limited to 10 hours per week.

 ESSENTIAL FUNCTIONS:

  2. Creates and mails all donor request letters.
  3. Maintain accurate database of donors and key information for the Development office.
  4. Serve as support staff for fundraising campaigns, open houses and special events.

Assistant Aquatics Director

Job Type: Full Time - Location: Penobscot Bay YMCA

With guidance from the Aquatics Director, the Assistant Aquatics Director helps to develop, organize and implement high quality, member-focused YMCA aquatics programs. Assists with the management of department activity to meet YMCA objectives. Trains, schedules and  directs staff and volunteers. Monitors daily pool operations to adhere to all State, Local, and YMCA health and safety regulations. Assists with proper maintenance of pools.     Maintains accurate records of pool chemical levels and facility maintenance.

Assistant Childcare Director

Job Type: Full Time - Location: Penobscot Bay YMCA

This position supports the work of the Penobscot Bay YMCA, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. Develops, organizes and implements high quality YMCA early learning programs.

IMPACT ON MISSION: To support children in a reaching their full potential by allowing them to express their talents creatively and physically in a safe, healthy and enriching early learning environment.

ESSENTIAL FUNCTIONS:

  1. Assist with management of the early learning programs for the Rockport location, including the Childwatch Programs. Ensures high quality programs and establishes new program activities.
  2. Maintain NAEYC accreditation status.
  3. Assists with the recruitment, hiring, developing, and scheduling of staff and volunteers as needed. Helps Director evaluate staff performance and develop strategies to motivate staff to achieve goals.
  4. Supports and budget for healthy eating through coaching, mentoring, and monitoring menu quality.
  5. Assures compliance with federal, state and local regulations as they relate to program areas, including ADA accommodations where appropriate. Ensures that YMCA program standards are met and safety procedures followed. Maintain the quality rating system.
  6. Assists with the management of program enrollment for all early learning programs.
  7. Monitors upkeep of assigned program facilities and equipment ensuring the physical environment is safe and supports healthy living.
  8. Maintains proper records/department files.
  9. Organizes special events for parents and children.
  10. Assists in the marketing and distribution of program information.
  11. Assists with child care third party billing.
  12. Provides a minimum of 10 hours of classroom coverage per week.
  13. Helps facilitate monthly department staff meetings and relevant training as required by the YMCA and DHHS and Maine Roads to Quality.
  14. Performs other duties as assigned for the good of the organization.

North Haven Site Supervisor

Job Type: Part Time - Location: North Haven Fitness & Wellness Center

GENERAL SUMMARY:

With guidance from the CEO and the Pen Bay Wellness Director, the North Haven Site Supervisor plans, implements, and facilitates all fitness & wellness programs on North Haven.  Works independently under general direction and is expected to determine how to accomplish tasks. 

 

ESSENTIAL FUNCTIONS:

  • Supervises program activities and expands program within the community in accordance with organization’s strategic and operating plans.
  • Hires, trains, schedules and supervises personnel and volunteers as needed. Reviews and evaluates staff performance.
  • Maintains accurate membership records for satellite.
  • Monitors daily operations to adhere to all YMCA health and safety standards and policies.
  • Maintains equipment and facilities. Coordinates and schedules equipment maintenance and repairs.
  • Coordinates use of facilities for program activities and events.
  • Conducts fitness orientations and observes and discusses individual progress with participants.
  • Develops positive relationships with members and provides motivational support and guidance.
  • Responds to all member and community inquiries and complaints in timely manner.
  • Assists in YMCA fund raising activities and special events
  • Assists in the marketing and distribution of program information.
  • Performs other duties necessary for the good of the organization.

Full-Time Preschool Teacher - Year Round Position

We have two immediate part-time openings for people who want to make a significant positive impact in the lives of our neighbors and friends. We are looking for welcoming and dependable part-time membership representatives to join our Rockport and Rockland teams. Responsibilities include greeting and checking in guests and members, taking payments, program sign-ups, facility tours and enrolling new members. Current shift openings include some weekend shifts specifically Saturdays , weekday opening shifts with a start time of 5am, multiple schedule options available. 

Positions require computer skills, the ability to multi-task, the ability to provide excellent customer service and develop relationships with our members and guests, while being able to process paperwork accurately.

This job requires the ability to put YMCA members and guests first!  Provide excellent service to members, guests, and program participants in the Y and on the phone, contributing to member retention.

  • Be creative in finding ways to successfully meet member needs.
  • Conduct interviews and/or tours responsive to the needs of prospective members; sells memberships.
  • Builds relationships with members; helps members connect with one another and the YMCA.
  • Handles and resolves membership concerns and informs supervisor of unusual    situations or unresolved issues.
  • Accurately handle cash and electronic transactions and complete shift closeout.
  • Utilize Daxko system to process transactions, register participants and record payments.
  • Receive and warm transfer calls to other staff members
  • Applies all YMCA policies dealing with member services.
  • Perform other duties as necessary for the good of the association, may hand out locker keys and towels; may monitor the locker rooms as required, fill out accident reports as needed and other clerical tasks as needed.
