Assistant Aquatics Director

Job Type: Full Time - Location: Penobscot Bay YMCA

With guidance from the Aquatics Director, the Assistant Aquatics Director helps to develop, organize and implement high quality, member-focused YMCA aquatics programs. Assists with the management of department activity to meet YMCA objectives. Trains, schedules and  directs staff and volunteers. Monitors daily pool operations to adhere to all State, Local, and YMCA health and safety regulations. Assists with proper maintenance of pools.     Maintains accurate records of pool chemical levels and facility maintenance.

Custodian and Light Maintenance Work (Night Shift)

Custodial/Maintenance Position - Evening Shift  (Full-time)- Rockland
 

We are looking for self-motivated and dependable person who has a demonstrated ability to work independently to join our facilities team at the Rockland Harbor Y. The Penobscot Bay YMCA is celebrating its 100 year anniversary this year. Make a difference by working for a non-profit in your community by helping us to provide a clean facility for your community to enjoy.

 

 Primary Duties:

  • Completes all duties listed on the daily schedule and maintains upkeep of assigned area and equipment at the Rockland Harbor YMCA and Flanagan Community Center.  Duties include, but are not limited to, cleaning locker rooms/bathrooms, cleaning childcare center, wet and dust mopping, dusting, trash removal, window washing, painting, vacuuming, seasonal activities dealing with lawn care and snow removal, and general cleaning.

  • Light maintenance, simple repairs, installation of shelving, anchoring cabinets, and other items as needed.
  • Operates related motorized and non-motorized equipment.

  • Records and reports all needed repairs; repairs as directed.

  • Ensures YMCA building and property is secure during shift and report incidents and hazardous conditions to supervisor.

  • Replaces soap, paper towels, sanitizer, and other supplies.

  • May set up furniture for events.

  

Evening schedule of 2pm to 10pm, or 3pm to 11pm Monday through Friday. Occasional weekend work may be required.

Must have reliable transportation and valid driver's license.

HR & Finance Assistant (Full-Time)

Job Type: Full Time - Location: Penobscot Bay YMCA

POSITION SUMMARY:

This position supports the work of the Penobscot Bay YMCA, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. Receives and maintains all information pertaining to the accounts payable system. This position also handles all payroll, new hire, and on-line training processes. Lastly, this position also assists with accounts receivable through regular monthly billing and reconciliation.

 

ESSENTIAL FUNCTIONS:

1.    Processes AP invoices for payment. Audits check requests and purchase orders for completeness and makes corrections as necessary.

2.    Inputs vendor and expense distribution data in the accounts payable system (Quickbooks).

3.    Coordinates accounts payable check runs upon approval. Files appropriate documentation and maintains accounts payable files.

4.    Works with vendors and staff to resolve invoice discrepancies. Reviews vendor statements for past due invoices and work with vendors and branches to keep accounts current.

5.    Maintains W-9 information for all vendors and prepares annual 1098 and 1099 forms for IRS.

6.    Maintains responsive and cooperative relationships with vendors and branches regarding accounts payable matters.

7.    Generate monthly billing invoices and distribute.

8.    Responsible for collection of past due membership and program fees.

9.    Maintains depreciation schedule.

10.  Assists with annual 1095-C processing and filing.

11.  Performs all payroll functions to include payroll processing, resolution of payroll errors and timely entry of payroll status change forms. Troubleshoot all ADP logon issues and train new hires.

12.  Responsible for tracking PTO for all departments and ensuring bi-weekly distribution of PTO reports by department.

13.  Coordinate all new hire paperwork; meet with all new hires to review paperwork.

14.  Creates job offer and turn down letters weekly, as required.

15.  Maintains up to date job posting listing on all job boards. Updates YMCA employment ads.

16.  Ensures all new hires completed required on-line trainings prior to start date and required annual on-line trainings. Submit report monthly to Operations Director with list of overdue trainings for follow-up.

17.  Performs all background check processing for all new hires and volunteers.

18.  Performs timely employment verification as needed to include: MEMIC, DOL, government agencies, employer, banking, etc.

19.  Performs all AP, AR and HR filing, ensuring filing is up to date weekly for ease of reference.

20.  Process enrollment and changes in benefit programs: health insurance, HRA accounts, life insurance, STD & LTD insurance, Life insurance and retirement. Deletions should also be processed in a timely manner           as employees leave.

21.  Performs other duties as assigned, including staff meetings and trainings.

We can work with you on which 5 days you work for a total of 20 to 29 hours per week.

Teen Center Staff Opening
